This event furniture rental FAQ answers the questions Nashville event planners and exhibitors ask us most: booking, delivery, trade show booths, branding, and our payment and cancellation terms. Don’t see your question? Ask us directly.

Every event furniture rental from us includes the furniture itself, delivery to your venue, placement to your floor plan, and pickup after the event. Branded graphics, custom pieces and truss builds are added when you order them. Your quote lists everything included, so ask us to walk through it before you sign.
Corporate events, trade shows, conventions, conferences, product launches, sponsor lounges and brand activations. We don’t take social or private events, which lets us schedule around convention move-ins and corporate load-ins.
Send us your event date, venue, estimated attendance and what you have in mind, even if it’s rough. A floor plan, RFP or a few inspiration photos help. We’ll come back with suggested pieces and a quote. You can also add items to a quote list from any product page.
For most corporate events, booking your event furniture rental six to eight weeks ahead is comfortable. For conventions, multi-day conferences and anything with branded pieces, book two to three months out. Fall corporate season fills early, so programs in September and October are often booked by early summer.
Yes. Tell us the room, the headcount and what the space needs to do, such as registration, networking, a sponsor lounge or a general session stage, and we’ll suggest furniture and a layout. If you have a CAD or floor plan, send it.

Yes. Please have an on-site contact at delivery and at pickup. At delivery, check the pieces and tell us within one hour, in writing with photos, if anything is damaged or missing so we can fix it right away.
Charging stations and some lighted pieces need an outlet. Arranging and paying for power at the venue is the client’s responsibility; at trade shows that usually means ordering booth electrical from the show. We’ll tell you which pieces in your order need power.
No. We are not a union labor company. If your venue or show requires union labor for any part of the work, those charges are billed separately and are the client’s responsibility.
Yes. We supply counters, bar tables and stools, charging, lighted walls, LED furniture and truss for booths at Music City Center and other Nashville venues. See trade show booth rentals for sample layouts by booth size.
Usually, yes. Most shows require exhibitors to notify show management before an outside supplier works in their booth. The exhibitor files the form, typically 3 to 4 weeks before move-in; your exhibitor manual has the exact deadline and insurance requirements.
We usually deliver straight to your booth during your assigned move-in window, which avoids material handling charges on furniture. If your show requires otherwise, we follow the exhibitor manual.
Yes. Many clients order booth furniture plus a sponsor lounge, hospitality suite or evening reception from us in one order.
Yes. Registration counters, bars and many tables take full-color graphic wraps, and lighted walls and counters take printed graphics. LED furniture can be set to your brand color. Send artwork early so graphics are produced before the event.
Yes. We fabricate most of our hard inventory, such as counters, bars, tables, charging and LED furniture, and can build custom pieces for a specific event. Custom orders need lead time and are paid in full when the contract is signed.
No. Our pieces and designs are proprietary, and our terms prohibit copying or having them replicated.
A non-refundable 45% deposit is due when the contract is signed, and the balance is due 14 days before the event date. Custom orders are paid in full at signing.
Send changes to your event furniture rental as early as you can. Orders booked or changed within 7 days of delivery may carry additional charges because trucks and crews are already scheduled.
The deposit is non-refundable. If an event is cancelled within 60 days of the event date, the full contract amount is due. Custom orders are non-refundable.
The client is responsible for the rental items from delivery to pickup, including damage or loss. Report any issue at delivery within one hour, with photos, so it’s documented before your event starts.
We may photograph our furniture in use for our portfolio. If your event is confidential, tell us in writing before the event and we won’t.
