Modern Event Rental supplies trade show booth rentals in Nashville for exhibitors at Music City Center, Gaylord Opryland and the city’s hotel ballrooms: branded counters, bar-height tables and stools, charging furniture, lighted walls and truss. We deliver to your booth during move-in, set everything to your floor plan, and pick it up at move-out.
Most exhibit houses sell the structure and leave the furniture to the show contractor’s order form. We fill that gap. If you’re bringing a pop-up display or a booth from your own exhibit house, we furnish it. If you’re starting from bare carpet, we can build the whole booth from counters, walls and truss we own.
Request a trade show quote with your show name, booth number and booth size, and we’ll come back with a layout.

Booth counters. The 4ft Blanc counter (48″W x 24″D x 42″H) fits the front of a 10×10; the 6ft Blanc counter (72″W x 24″D x 42″H) anchors a 10×20. Both take a full-color graphic wrap with your logo.
Bar-height tables and bar stools. A Nexus bar table (24″ x 24″ x 42″H) takes up one corner and gives a sales rep somewhere to put an iPad.
Charging furniture. The Spark communal bar table has built-in power at bar height, and a charging station locker with eight locking bays keeps attendees in your booth while their phones charge.
Walls and backdrops. The Illuminated Gallery Wall (48″W x 12″D x 96″H) lights up in any color and takes branded graphics; the Noir boxwood hedge wall (38″W x 79″H) screens off a storage corner without looking like one.
LED furniture. Lighted bars, counters and cubes pull eyes down an aisle, especially in darker exhibit halls and evening receptions.
Pedestals for product display, and 12″ box truss for booth frames, header signs and lighting.
These layouts for trade show booth rentals are starting points. Every show has its own rules, so we check them against your exhibitor manual before anything ships.
One 4ft Blanc counter wrapped with your logo at the aisle, one Nexus bar table and two bar stools behind it, and a short pedestal (18″ x 18″ x 30″H) for a product sample. That leaves about half the floor open so people can step in instead of talking to you from the aisle.
A 6ft Blanc or Altitude counter at the front, the Spark powered bar table with three stools as a demo station, and a tall hedge wall or Illuminated Gallery Wall along the back to hide boxes and add height.
Island booths are open on all four sides, so we build from the center: a Lemonade counter (72″W x 24″D x 88″H, with a header panel for branding) as the hospitality or demo point, a small lounge of lounge chairs around a Light Up coffee cube, a charging locker on one corner, and a lighted wall or truss header so the booth reads from across the hall.

When planning trade show booth rentals, remember that most shows follow the IAEE booth guidelines: inline booths can typically go to 8 feet at the back wall, with a lower limit in the front half of the booth so neighbors aren’t blocked. That’s why we spec the 96″-tall Gallery Wall for back walls and keep counters at 42″. Island booths usually allow more height. Your exhibitor manual has the exact numbers for your show, and we read it with you.
1. File the exhibitor-appointed contractor form. Most shows require exhibitors to notify show management before using an outside supplier. It’s usually a one-page form in the exhibitor manual, with a deadline weeks before move-in. We send you our details and insurance certificate to attach.
2. We schedule into your move-in window. We deliver to the booth, not to the advance warehouse, during the times the show assigns. That avoids paying material handling on furniture.
3. Setup to your floor plan. Counters are placed, wrapped and leveled; charging furniture is tested; lighted pieces are set to your brand color.
4. Pickup at move-out. You walk away after close; we collect everything once the hall opens for teardown.
Our trade show booth rentals work off the show floor too. Brands use our counters, LED furniture and walls for sponsor lounges, product sampling stations and pop-up activations around a convention: hotel lobbies, hospitality suites and evening receptions. See our guides to sponsor lounge furniture and experiential marketing in Nashville.
Yes. Most of the trade show booth rentals we handle are for exhibitors who already have a display or a booth from their exhibit house. We supply the furniture around it: counters, bar tables and stools, charging, lighting and walls.
Delivery to your booth during your assigned move-in window, setup to your floor plan, and pickup at move-out. Branded counter wraps and graphics are included when you order them. If anything in your quote is unclear, ask us to break it out before you sign.
The show contractor’s order form covers standard pieces. We add what those forms usually don’t: branded counters, LED furniture, lighted walls, powered tables and lounge seating that make a booth look designed rather than rented. Many exhibitors order basics from the show and the standout pieces from us.
Usually, yes. Most shows require exhibitors to tell show management before an outside supplier works in their booth. The exhibitor fills out and signs the form, typically 3 to 4 weeks before move-in; your exhibitor manual has the exact deadline. Shows commonly ask for the supplier’s certificate of insurance naming the show and venue, and we send ours as soon as you book.
Six to eight weeks before move-in is comfortable. That leaves time for the EAC deadline and for producing branded counter graphics. Large shows at Music City Center book inventory across several exhibitors at once, so earlier is safer for counters and LED pieces.
A 4ft counter (48″W x 24″D x 42″H) at the aisle, one 24″ square bar-height table, two bar stools and a short pedestal. That keeps about half the floor open so visitors can step into the booth. See the full sample layouts above for 10×20 and 20×20 booths.
The 4ft Blanc counter is 48″W x 24″D x 42″H and the 6ft is 72″W x 24″D x 42″H. The Altitude counter is 72″ wide but only 10″ deep, which suits shallow booths. The Lemonade counter stands 88″ tall with a header panel for your logo. Every product page lists dimensions and weight.
Yes. Counters take a full-color wrap, and the Illuminated Gallery Wall and Lemonade counter take printed graphics. LED pieces can also be set to your brand color. Send artwork early so graphics are ready before move-in.
Yes. The charging station locker has eight locking bays with keypad access and can be wrapped with your branding. The Spark communal bar table has power built in at bar height. Both give attendees a reason to stay in your booth.
We usually deliver straight to your booth during move-in, which avoids material handling charges on furniture. If your show requires something different, we follow the exhibitor manual.
Send us the updated floor plan as early as you can and we’ll adjust the order and setup plan. Changes within 7 days of delivery may carry additional charges, since trucks and crews are already scheduled.
Yes. We deliver to exhibit halls and ballrooms across Nashville, including Gaylord Opryland and the downtown hotels, and we furnish the receptions and sponsor lounges that happen around a show.
